Who we are

This policy explains what personal information Sanford Data Analytics, doing business as Overtime Education, collects through this website, why, who it is shared with, and how long it is kept. Contact us at [email protected].

What we collect

  • Account details: your name as licensed, email address, and optionally your mailing address. Your password is stored only as a one-way hash.
  • License details: the state, type and number of each license you add, so the certificate carries what your board asks for.
  • Purchases: what you bought, when, the amount, and refunds. Card details are collected and held by Stripe, not by us.
  • Course activity: your progress through each video, recorded at short intervals, together with the IP address and browser type of each viewing session; your answers to review questions and assessments, your scores, your course evaluations, and the certificates issued to you.
  • Email records: the messages we send you, such as address verification, password resets and receipts.

Why we use it

We use this information to run your account, deliver courses, verify that each course was completed as its CPE credit requires, issue certificates, answer your requests, and keep the completion records that continuing professional education standards and state boards require of a course sponsor. We do not sell personal information and do not use it for advertising.

Who we share it with

  • Service providers that run the site for us: DigitalOcean (hosting, database and file storage), Stripe (payments), Postmark (email) and Mux (video delivery). Each receives only what its service needs.
  • NASBA or a state board of accountancy, when a compliance review or an audit of a licensee's CPE asks us for completion records, certificates or evaluations.
  • Anyone the law requires us to disclose to.

Cookies

We set one cookie that keeps you signed in. It is marked HTTP-only so page scripts cannot read it. We use no advertising or analytics cookies.

How long we keep it

Completion records, certificates, assessment results, evaluations and the purchase records behind them are kept for 8 years, because a course sponsor must be able to show them to NASBA or a state board, and a licensee may need them for an audit of their CPE. Other information, such as a mailing address you no longer want held, is deleted on request.

Your choices

You can see and correct your account details on the My Account page. If your licensed name changes, we can reissue a certificate under the corrected name. You can ask us to close your account and delete your personal information; we will delete everything that is not a completion record we are required to keep, and we will keep those records only for the period above.

Security and children

Access to personal information is limited to the people who run the site. The site is intended for licensed professionals and is not directed to children.

Changes

If we change this policy we will post the new version on this page with its effective date.
